Adding order notes

Order notes are a valuable tool for communicating important information about an order, both internally and with your customers. Here’s how to effectively use order notes in your Mech Keybs store:

Accessing Order Notes

  1. Log in to your Vendor Dashboard
  2. Navigate to Orders
  3. Click on the specific order number to view order details
  4. Scroll down to find the “Order Notes” section

Types of Order Notes

There are two types of order notes:

  1. Private notes: Visible only to you (the seller)
  2. Customer notes: Visible to both you and the customer

Adding a Note

To add a new note:

  1. In the order details page, locate the “Add Note” section
  2. Type your message in the text box
  3. Select the note type: • Check the box for “Customer note” if you want the customer to see it • Leave it unchecked for a private note
  4. Click “Add Note” to save

Best Practices for Order Notes

  • Use clear and concise language
  • For customer notes, maintain a professional tone
  • Use private notes for internal reminders or details
  • Add notes promptly when there’s important information to share

Customer Notifications

  • When you add a customer note, the customer will receive an email notification
  • Private notes do not trigger customer notifications

Examples of Effective Order Notes

Customer notes:

  • “Your custom keycaps are being manufactured and will ship in 5-7 business days.”
  • “We’ve upgraded your shipping to express at no extra charge due to the slight delay.”

Private notes:

  • “Customer requested blue switches instead of red – order updated.”
  • “Waiting for restock of item XYZ – expected in 2 days.”

Viewing Note History

All notes are time-stamped and stored in chronological order in the “Order Notes” section. This creates a useful log of all communications and actions related to the order.
